Huddle Rooms – Tips for the meeting all-rounder

A few years ago, the huddle room was one of the must-haves of modern offices. It was predicted that the small flexible meeting room would have a glorious future – for example, that by 2022 more than 32 million huddle rooms would be in use worldwide and account for about 70 percent of all meeting rooms. And then came Corona, lockdowns and home office meetings.

With at least a partial return to the office, the huddle room is once again experiencing its well-deserved renaissance, with adapted requirements. Even more than before, the topic of “bring-your-own-device” or “bring-your-own-meeting” plays a major role, and the demands on camera and audio technology have also increased due to many hybrid meetings.

The motto “collaboration first” has also become established in the huddle room. Hardware-based UCC systems are predominantly replaced by software applications. This guarantees seamless communication from the meeting room to the workplace to the home office. For huddle rooms, hardware providers are increasingly using so-called all-in-one solutions, such as the Microsoft Surface Hub or Cisco Sparkboard, Poly Studio etc. – fixed bundles of interactive touch display, camera and sound bar.

What makes the huddle room so important: About 70 per cent of all meetings are conducted with four people or less!

The huddle room is nothing more than a small meeting room designed for creative collaboration and quick often informal exchange. Team and project work should be encouraged in this room. The huddle room is usually designed for meetings of four to six people. The term comes from American football, when the team quickly assembles for a meeting in a so-called huddle before a play.

Basic tips for the huddle room

  • A central or round table with a large work surface and chairs or stools is recommendable. Lounge furniture is also conceivable, depending on the use and design of the room. Huddle rooms should be places where employees feel comfortable, because this is the only way to promote creativity and collaboration. This should also be reflected in the room’s furnishings.
  • Of course, there should also be sufficient ventilation and air conditioning.
  • Furthermore, the huddle room should have a large display (ideally with a touchscreen) at the head end. In general, it makes sense to connect the technology directly to the furniture. One should not forget the connection options such as HDMI, USB, network and power.
  • Attention should also be paid to the room acoustics and the audio system. An investment in an audio system consisting of a microphone and sound via loudspeakers is necessary.
  • In terms of bring-your-own-meeting, there should be an uncomplicated option to connect devices such as laptop, tablet or smartphone with the media technology – ideally: wirelessly. The technology in the room should be as easy and intuitive to use as possible for the end user – especially if the room is to be used for spontaneous short meetings.
  • Whiteboards, digital displays, flipcharts (anything that helps write down creative thoughts) also belong in a huddle room.
  • Don’t forget to train your staff on the technology in the room. Some people may need to overcome their fear of contact or may not be enthusiastic at first sight.
  • Already in the planning phase, you should include all trades in the conceptual considerations, or work with a partner like the MVC, who can show you a holistic approach to the solution.
  • Furthermore, it makes sense to equip all huddle rooms in the company in a uniform manner. On the one hand, you make it as easy as possible for your colleagues and end users. On the other hand, you benefit from easy operation of the rooms!
