Cisco presents extensive innovations around hybrid working at ISE – including the Webex Room Bar

How do you work hybrid optimally – that’s the question that all manufacturers at ISE are actually trying to answer with their solutions, because ultimately it’s about bridging the gap between people on-site in the office and people in the home office. A recent industry survey conducted by Webex found that 88 percent of knowledge workers are dissatisfied with technology in the office. That’s why our partner set out to provide solutions that enable seamless, inclusive and flexible collaboration.

When designing the meeting room, the following questions arise:

Webex Room Bar – a new benchmark for hybrid meetings


We took a closer look at the Webex Room Bar at ISE 2022 and were impressed. The Webex Room Bar is targeted at huddle spaces, small and medium-sized meeting rooms in hybrid environments.

According to surveys, the biggest sources of frustration in the hybrid work environment are background noise and poor sound or video quality. Other issues, as described above, are the “equivalence” of meeting participants (home office versus conference room) and possible hurdles such as language barriers. These are precisely the sticking points that the new Webex Room Bar addresses.

Webex Room Bar: the most important features at a glance

The device uses AI to ensure that everyone in the room is in view and all participants are engaged in the conversation. Everyone in the room is optimally framed, so each participant is equally represented. The new 12-megapixel camera provides a wide field of view, so even people sitting closer to the device, such as in smaller meeting rooms, are captured. In our opinion, this is a very good and so far unique solution.
Spatial Audio, according to the manufacturer, gives the feeling that the various team members are in the room with you.
Thanks to dual-screen support, it’s possible to work on a second screen in parallel with the video chat, it adds.
The AI also minimizes distracting background noise.
The Webex Room Bar is compatible with meeting tools, such as Zoom, Microsoft Teams, Google Meet, among others.
One can access live captions, gestures and responses, and embedded apps like Slido to make meetings more inclusive and interesting for all participants.
Essential in hybrid meetings is that all participants understand the content. Simultaneous interpretation is now available for Webex devices. With this feature, meetings are translated by a live interpreter, allowing organizations to easily overcome language barriers.

Another unique feature is that the Room Bar goes beyond “just” video activation of conference rooms. Sensors integrated into the touch panel allow you to track room conditions in real time to ensure your teams have an optimal environment. Smart macros can trigger automatic alerts to remind users of security policies, for example.

Cisco emphasizes that in a hybrid work model, powerful technology is coupled and you achieve great potential with deliberate design to prevent fatigue and ensure an optimal, inclusive work environment.

What kind of work is well suited to be performed in a home office?

Most of the discussion in the media centers on the above-mentioned question of the hybrid work model – in other words, how many days should an employee spend in the office? In the process, another important question often falls by the wayside, because it is also crucial which work should the employee do in the home office and which in the office?

Depending on the scope of this work, the time spent working in the office or in the home office should be the right choice!

Our tip: Analyze on an employee or department basis the individual work packages according to whether they should be done in the home office or in the office and then decide how much home office is possible.

The following activities are generally well suited for the home office:

  • Research activities
  • reading in
  • Preparing plans, evaluations and presentations
  • Writing concepts
  • Online training such as tutorials or (video) podcasts

The following activities are conditionally suitable for the home office (or can work with the appropriate technical equipment and the ability to integrate remote workers (read our tips below))

  • Informing (e.g. team internal news)
  • Collaboration
  • Brainstorming
  • Webinars
  • Customer contact (consulting, negotiation, service)

In our experience, the following activities are more successfully handled in the office

  • complex discussions & decision-making meetings
  • getting to know each other (recruiting or onboarding)
  • employee feedback meetings
  • problem discussions

Boosting efficiency with hybrid work models

The pandemic has fundamentally changed the way we work. Whereas home office was previously the exception (sometimes even belittled, as a less busy day at home), it is now almost the rule and also valued. In many companies, however, a return to the office is now on the agenda – but not entirely.

The shift to remote working has made business owners consider how companies and teams can work when face-to-face meetings are no longer possible, or even made possible to save costs. Many companies are now looking at how to move forward in the future – from setting up flexible work arrangements, stocking up conference rooms, to ensuring a safe return to the office….

The hybrid workplace, will shape future working and is an opportunity for companies to work more effectively, encourage better collaboration and at the same time provide optimized conditions for employees.

 

Establish individual solutions or hybrid work concepts.

In various surveys e.g. Washington Post it turned out that 20% of employees would like to work full-time remotely in post-Corona times, while 17% of employees (i.e. almost the same) said they would like to work full-time in the office again. Large companies are preparing well for this: Microsoft, for example, is launching a Hybrid Workplace model that allows employees to move within the country. Google is requiring its approximately 130,000 employees to come into the office only 3 times per week in post-Corona times.

 

Expand and remodel meeting rooms for better distance compliance.

Due to the distance rules, it is recommended to reduce the capacity of the conference rooms, e.g. to remove every second chair as well as to avoid back-to-back meetings in the conference rooms so that sufficient ventilation can be provided after a meeting. For some companies, this means creating additional meeting rooms.

Multiplatform rooms for smooth communication

Within a company, there is usually a standard conferencing solution that was introduced under time pressure at the outbreak of the pandemic. However, if one now wants to communicate across company boundaries (e.g. participate with Zoom in a team meeting of a customer or supplier), it is often found that there are compatibility problems. Our recommended solution for this is to create multi-platform rooms that allow any standard video technology to join meetings on other platforms.

 

"Low-Contact Meeting Entry."

In conference rooms, the existing in-room technology (e.g., touch panels or remote controls) must be used again for steering. In order to keep the operating time (and thus a possible risk of infection via the interface) as short as possible, we advise setting up a clean workflow, ideally by having the meeting entry take place via OBTP (one-button-to-push). This also helps to avoid errors. We also recommend checking whether the use of operating elements such as touch panels can be abandoned as a matter of principle. Voice-assisted video systems or room control via app can already make this possible.

Smart Workplaces to control room utilization.

(digital signage, motion sensors and facial recognition) can provide valuable insights and ensure that room utilization can be managed better.
